Privacy policy

Xplore Gifts ("we", "us", "our") is operated by Xplore UK Distribution LTD, a company registered in England and Wales, of 30–32 Albion Road, Sileby, Loughborough, LE12 7RA, United Kingdom. We are registered with the Information Commissioner's Office (ICO), registration number ZB909539, and are the data controller for personal information collected through xploregifts.co.uk (the "Site").

This policy explains what personal information we collect, why, how we use it, and the rights you have over it.

1. Who this applies to

This policy covers visitors to and customers of xploregifts.co.uk. We currently sell and ship to customers in the United Kingdom only.

2. Information we collect

You give us directly:

  • Name, billing and delivery address, email address, phone number
  • Order details and purchase history
  • Your email address, if provided when creating an account, placing an order, or via the "Subscribe to our emails" form on our Site. We do not currently send marketing newsletters or promotional emails — email addresses collected this way are used only for order/account communications unless that changes (see Section 3).
  • Account login details, if you create an account (see Section 8 — your account is hosted and authenticated by Shopify, not stored by us)
  • Anything you send us via email, phone, or contact forms (e.g. customer service queries)

Collected automatically:

  • Device and browser information, IP address
  • Pages viewed, products browsed, time on site, referring pages
  • Cookie and similar tracking data, including data collected by apps and tools installed on our Site (see Section 5)

From third parties:

  • Payment confirmation from Shopify Payments (see Section 4) — we do not receive or store your full card number
  • Delivery status updates from our couriers

3. How and why we use your information

  • Processing and fulfilling your order, customer service, returns — contact, order, and payment confirmation data, on the basis of performing our contract with you.
  • Account creation and management — account details via Shopify's hosted accounts, on the basis of performing our contract with you.
  • Fraud prevention and site security — device/usage and order data, on the basis of our legitimate interests.
  • Site analytics and improving the Site — usage data via Google Analytics and other installed apps, on the basis of your consent via our cookie banner.
  • Advertising (Google Ads remarketing) — usage/cookie data, on the basis of your consent via our cookie banner.
  • Newsletter/marketing emails — not currently active — email address, on the basis of consent.
  • Complying with law (e.g. tax/accounting records) — order and payment records, on the basis of our legal obligations.

Our Site has a "Subscribe to our emails" sign-up form, but we do not currently send marketing or promotional emails. If we start doing so in future, we will only email people who signed up or otherwise gave consent, and every marketing email will include an unsubscribe link. This policy will be updated to reflect that change when it happens.

You can withdraw consent for analytics/advertising cookies at any time (Section 5).

4. Who we share information with

  • Shopify — our e-commerce platform provider, which hosts the Site, processes orders, and hosts your customer account on our behalf.
  • Shopify Payments — processes card payments at checkout. Shop Pay, Apple Pay, and Google Pay wallets may also be offered as payment options through Shopify's checkout. We do not store your full card details ourselves.
  • Delivery couriers — receive your name and delivery address to fulfil orders.
  • Google (Analytics and Ads) and other apps we've installed on our Site — receive site usage data, only if you consent via our cookie banner, to help us understand site traffic, run remarketing ads, and operate site features (e.g. site search/navigation tools).
  • Regulators, law enforcement, or professional advisers — where required by law or to protect our legal rights.
  • A buyer, if we sell or reorganise the business, subject to the same protections in this policy.

We do not sell your personal information to third parties for money.

Reviews from other platforms: we display customer feedback we've received on eBay via a widget on our Site. This shows publicly available eBay feedback about our eBay listings — it does not involve sending your data to eBay.

5. Cookies

Our Site uses a cookie consent banner. Cookies fall into these categories:

  • Strictly necessary — required for the Site and checkout to function (e.g. shopping cart, security). These can't be switched off.
  • Analytics (Google Analytics and other installed apps) — used only if you accept, to understand how visitors use the Site.
  • Advertising (Google Ads) — used only if you accept, to show relevant ads and measure their performance.

You can change your cookie preferences at any time via the cookie settings link on the Site, or through your browser settings.

6. How long we keep your data

We don't apply one fixed deletion schedule — we keep personal information for as long as necessary for the purpose it was collected, including:

  • Order and account data, for as long as your account is active or as needed to resolve disputes and provide support
  • Financial/transaction records, for at least 6 years to meet UK tax and accounting obligations (HMRC requirement)
  • Newsletter/marketing consent records — currently not applicable, as we do not send marketing emails; if this changes, records will be kept until you unsubscribe or withdraw consent, plus a reasonable period to evidence compliance

7. Where your data is processed

We only sell to customers in the UK, but the services we use (Shopify, Google, and other installed apps) may process data on servers located outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or adequacy regulations recognised under UK GDPR.

8. Your account and Shopify

If you create an account or log in, this is handled entirely by Shopify's own account system — you receive a one-time login code by email rather than a password stored by us. Shopify processes this data as part of providing the Service to us; you can read more in Shopify's Consumer Privacy Policy at https://www.shopify.com/legal/privacy.

9. Your rights

Under UK GDPR, you have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your information
  • Restrict or object to certain processing
  • Request a portable copy of your data
  • Withdraw consent at any time (where we rely on consent)

To exercise any of these rights, contact us using the details in Section 12. You also have the right to complain to the ICO (ico.org.uk) if you believe we haven't handled your data properly.

10. Children's data

The Site is not directed at children, and we don't knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we'll delete it.

11. Third-party links

Our Site links to third-party platforms including Facebook, eBay, and our other social channels. We are not responsible for the privacy practices of those platforms — please check their own policies.
